1. Booking Policy

Appointments can be booked online via:https://www.etherealglowaesthetics.com.au/consultation-booking

Your appointment is considered confirmed once you receive a booking confirmation.

2. Consultation Policy

A consultation may be required prior to treatment to assess suitability, discuss your concerns, review your medical history, explain risks and benefits, and establish realistic expectations.

A consultation does not guarantee that treatment will proceed on the same day.

3. Consultation-Based Treatments Policy

Certain treatments are consultation-based and may only be discussed following an individual assessment by a qualified health professional.

Treatment recommendations are made based on clinical suitability and your individual goals.

4. Deposit Policy

A deposit may be required to secure your appointment.

Deposits are non-refundable for late cancellations, no-shows, or appointments cancelled outside the clinic's cancellation policy.

Deposits may be transferred to one rescheduled appointment provided adequate notice is given.

5. Cancellation and Rescheduling Policy

A minimum of 48 hours' notice is required to cancel or reschedule an appointment.

Failure to provide sufficient notice may result in forfeiture of your deposit.

Repeated cancellations or rescheduling may require full prepayment for future bookings.

6. Late Arrival Policy

To ensure all clients receive the full attention and treatment time allocated to them, a 15-minute grace period applies to all appointments.

Clients arriving more than 15 minutes late may have their appointment cancelled or rescheduled at the discretion of the clinic.

If there is insufficient time to safely complete the scheduled treatment, the appointment will not proceed.

Late arrivals exceeding the grace period will result in forfeiture of any deposit paid and will require a new deposit to secure a future appointment.

7. No-Show Policy

Failure to attend your appointment without notice will be considered a no-show.

Deposits will be forfeited, and future bookings may require full prepayment.

Repeated no-shows may result in refusal of future bookings.

8. Medical Disclosure and Suitability Policy

Clients are responsible for disclosing relevant medical information, including but not limited to:

• Pregnancy or breastfeeding

• Allergies or sensitivitie

• Current medications

• Recent cosmetic procedures

• Active infections or cold sores

• Significant medical conditions.

Failure to disclose relevant information may affect treatment suitability and outcomes.

The clinic reserves the right to decline or postpone treatment where safety concerns exist.

9. Right to Refuse Treatment Policy

Ethereal Glow Aesthetic Clinic reserves the right to refuse treatment where:

• treatment is considered unsuitable

• expectations are unrealistic

• medical risks outweigh potential benefits

• informed consent cannot be obtained

• a client appears intoxicated or impaired

• staff safety or wellbeing may be compromised

Any decision to decline treatment will prioritise client safety.

10. Treatment Outcomes Policy

Results vary between individuals.

No treatment outcome can be guaranteed.

The longevity and effectiveness of treatments may be influenced by individual anatomy, skin quality, lifestyle factors, health conditions, aftercare compliance, and biological response.

Additional treatments or maintenance sessions may be recommended.

11. Aftercare Policy

Aftercare instructions will be provided where applicable.

Clients are responsible for following aftercare recommendations to support recovery and optimise outcomes.

Failure to follow aftercare advice may affect treatment results.

12. Complications and Emergency Contact Policy

If you have any questions, unexpected symptoms, or concerns after your treatment, please contact the clinic promptly using the contact details provided to you or those listed on our website. We encourage you to reach out early so we can provide appropriate advice and support.

Your clinician will ensure you have the necessary aftercare and contact information before you leave your appointment. If you experience severe symptoms or have an urgent health concern, please seek immediate medical attention or attend your nearest emergency department.

13. Refund Policy

Completed treatments are non-refundable.

Refunds are not provided for change of mind, dissatisfaction relating to variations in individual results, or outcomes that fall within normal treatment expectations.

Concerns regarding treatment outcomes should be discussed with the clinic so appropriate review can be arranged.

14. Package and Prepaid Treatment Policy

Prepaid treatments and treatment packages are non-refundable and non-transferable.

Unused treatments may not be exchanged for cash.

Treatment plans should be completed within the recommended timeframe advised by your clinician.

15. Retail Product Returns Policy

Retail products may only be returned if they are faulty, damaged, or supplied incorrectly.

Opened or used products cannot be returned due to hygiene and safety considerations unless required under Australian Consumer Law.

Proof of purchase is required.

16. Photography and Clinical Images Policy

Clinical photographs may be taken for documentation, treatment planning, and progress monitoring.

Images will only be used for marketing or educational purposes with your written consent.

Declining photography will not affect your access to treatment.

17. Privacy Policy

Your personal and health information is collected to provide safe and appropriate care.

Information is stored securely and treated confidentially.

Information will only be disclosed where required by law or with your consent.

You may request access to your records in accordance with applicable privacy legislation.

18. Children and Additional Guests Policy

To maintain a safe and relaxing clinical environment, children and additional guests should not attend appointments unless prior arrangements have been made with the clinic.

19. Payment Policy

Payment is required at the completion of your appointment unless otherwise arranged.

Accepted payment methods are displayed during booking or advised by the clinic.

Outstanding balances must be settled before future appointments can proceed.

20. Promotions and Special Offers Policy

Promotional offers are available only during the advertised period and cannot be applied retrospectively.

Offers cannot be combined unless otherwise stated.

The clinic reserves the right to amend or withdraw promotions at any time.

21. Respectful Behaviour Policy

Ethereal Glow Aesthetic Clinic is committed to providing a respectful and safe environment.

Aggressive, abusive, threatening, discriminatory, or inappropriate behaviour towards staff or other clients will not be tolerated.

The clinic reserves the right to refuse service and discontinue future care where such behaviour occurs.
